With such doom and gloom within the media at the moment, it makes the job of the event organiser that much more difficult. Events still have to take place, whether it’s the launch of a new product or service, helping your team work together more effectively or thanking clients for their business. Here are some tips and hints to consider when putting together your next event, whilst watching the pennies:
1. Use semi private or private areas of venues as opposed to exclusivity.
Many venues are set out to suit a number of requirements, and as may hire out small (or large) sections for a low minimum spend as opposed to the higher figure for an exclusive use. This logic may also allow you to hold your event in a more exclusive venue as opposed to booking a small, cheaper, more forgettable venue.
2. Look at holding the event at a quieter time of the week.
Suppliers and venues will often be in much more of a position to negotiate if you are prepared to be flexible with your event date, so have some flexibility with dates to ensure you receive the best possible package.
3. Be flexible with your expectations.
Several of our clients found that their Christmas party budget went so much further if they were prepared to take their event to a hotel or country house outside of a large city. Themed Christmas events with all the trimmings can often cost in excess of £100 per head – a party held at a hotel can come in under this, even with accommodation included if guests twin up. Your team will also feel that they really been treated!
4. Look at lower priced team building activities.
There seem to be many more creative team building options now available to lower budgets. Get some air in your lungs and spend the day out on a treasure hunt! There seem to be a wealth of cookery based activities around now where the day’s catering is included which will save a few pounds too. Motorised activities are lots of fun but come at a cost.
5. Get creative with the venue.
Just because it’s a meeting doesn’t mean that it needs to be in a meeting room – we find that using a private room within a restaurant or bar can be far more cost effective. Hotels can make your event feel a little anonymous too, so ring the changes and go for an unusual venue.
